Refund, Cancellation & Transfer Policy

At ECDL Digital, we are committed to providing high-quality online learning, digital training materials and examination services. As our products are primarily digital and may include course licences, examination vouchers, learning-platform access and other resources that can be activated shortly after purchase, different cancellation conditions may apply depending on whether access has already been supplied.

This policy forms part of your agreement with ECDL Digital and should be read before completing your purchase.

1. Acceptance of This Policy

By purchasing a course, package or service from ECDL Digital, you confirm that you have been given the opportunity to read and understand this Refund, Cancellation & Transfer Policy and agree to the applicable terms presented during checkout.

Where you request immediate access to digital content, you may also be required to expressly consent to supply beginning during the statutory cancellation period and acknowledge that your right to cancel the digital-content contract will be lost once supply begins, where permitted by law.

Your statutory consumer rights are not affected by this policy.

2. Standard-Priced Course Purchases

Where applicable, a consumer purchasing online may have a statutory 14-day cancellation period.

If you purchase a standard-priced ECDL Digital course and digital content has not yet been supplied, activated or accessed, you may contact us within 14 days of entering into the contract to request cancellation.

Where you have expressly requested immediate access and acknowledged the consequences for your cancellation rights, your right to cancel the relevant digital-content contract will end once supply of that digital content begins, as permitted by applicable law.

3. Immediate Digital Access

ECDL Digital courses may provide access to digital products and services including:

Online course materials and learning platforms

Interactive learning resources

Mock examinations and assessments

Digital books, guides and downloadable resources

Practical labs and third-party learning environments

Examination vouchers, licence keys and activation codes

Other digital resources included within the purchased package

Where the appropriate consent and acknowledgement have been obtained and immediate digital supply has begun, change-of-mind cancellation rights for that digital content may no longer apply.

ECDL Digital may use system records including account creation, activation dates, login records, course progress, study activity, resource access and licence allocation when assessing a cancellation or refund request.

4. Sale, Promotional, Clearance & Bundle Purchases

ECDL Digital periodically offers courses and packages at substantially reduced prices through sales, promotions, clearance offers, bundles, Master Packages and other special offers.

These offers may be provided on different contractual terms from ECDL Digital’s voluntary refund arrangements for standard-priced purchases.

Once immediate digital content has been supplied following the required consent and acknowledgement, sale, promotional, clearance and bundle purchases are final and non-refundable for change-of-mind requests.

This applies to qualifying purchases advertised as:

Sale • Promotional • Clearance • Bundle • Master Package • Limited-Time Offer • Special Offer • Discounted Package

The fact that a product has been discounted does not remove any statutory consumer rights that apply to the transaction.

5. Transfer to Another Student

We understand that circumstances can change.

Where a learner purchased an eligible sale, promotional, clearance or bundled course but can no longer undertake the training, ECDL Digital may, at its sole discretion and as an alternative to a monetary goodwill refund, permit the unused or remaining course access to be transferred to another student.

A transfer is not an automatic entitlement and must be approved by ECDL Digital before another person accesses the account.

A transfer may not be possible where:

An examination voucher has already been redeemed

A licence has been permanently assigned and cannot be reassigned

A substantial proportion of the course has already been completed

Personalised or one-to-one services have already been delivered

A third-party provider prohibits reassignment

The account has been suspended for misuse or breach of our terms

Where additional third-party costs are genuinely incurred in completing a transfer, the learner may be required to pay those costs before the transfer is completed.

Unless ECDL Digital expressly agrees otherwise, transferring a course does not restart or extend its original access period.

6. Examination Vouchers, Fees & Licence Codes

Examination vouchers, licence codes, activation keys and similar digital products may involve third-party charges and may become committed to an individual learner once ordered or allocated.

Once an examination voucher, licence or code has been ordered, issued, activated, redeemed or permanently allocated, its value may therefore be excluded from any voluntary or goodwill refund to the extent permitted by law and where ECDL Digital cannot cancel or recover the associated cost.

Where reassignment is technically and contractually possible, ECDL Digital may consider a transfer instead.

7. Refund Requests

All refund or cancellation enquiries must be submitted to:

Please provide your:

Full name • Purchase email address • Order/reference number • Course/package purchased • Reason for requesting cancellation

We may request further information where reasonably required to identify the transaction or investigate the request.

Submitting a request does not mean a refund has automatically been approved.

ECDL Digital will review the circumstances of the purchase, applicable course activity, licences or examinations supplied, the terms accepted when purchasing and any statutory rights that apply.

8. Approved Refunds

Where ECDL Digital determines that a refund is due, the refund will normally be returned to the original payment method.

Credit and debit card payments will normally be returned through the original payment provider. Bank-transfer refunds will normally be returned to the originating account.

After ECDL Digital processes a refund, the time taken for funds to appear is controlled by the customer’s bank or payment provider.

9. Course Access Following a Refund or Chargeback

Where a purchase is legitimately refunded in full, access to the associated course, learning materials and unused services may be withdrawn.

Where a payment is reversed, disputed or charged back, ECDL Digital may temporarily restrict access to the affected paid services while the payment dispute is investigated, where appropriate and lawful.

10. Payment Disputes & Chargebacks

We strongly encourage customers to contact info@ecdldigital.com first if they believe there is a problem with their purchase.

This gives us an opportunity to investigate the account and attempt to resolve the matter.

Where a payment dispute or chargeback is raised, ECDL Digital may provide the bank, card issuer, payment processor or dispute-resolution provider with relevant evidence concerning the transaction.

This may include:

Order records, checkout records, terms accepted at purchase, digital-access consent, account activation, login/activity records, course progress, licence/voucher allocation and communications with the customer.

Nothing in this section prevents a customer from exercising a legal right to dispute a transaction.

11. Misuse of Courses & Accounts

ECDL Digital reserves the right to investigate suspected misuse of its learning platforms, licences and refund process.

Examples may include unauthorised account sharing, attempting to transfer access without permission, copying or distributing protected learning materials, fraudulent payment activity, misuse of examination vouchers or attempts to retain substantial benefit from digital resources while improperly seeking recovery of the purchase price.

Relevant account and transaction records may be retained where reasonably necessary for contract administration, fraud prevention, dispute resolution and legal or regulatory obligations, subject to applicable data-protection requirements.

12. Faulty or Misdescribed Digital Content

Nothing in this policy excludes or restricts rights that cannot lawfully be excluded.

Digital content supplied by ECDL Digital must satisfy applicable consumer-law requirements. The Consumer Rights Act 2015 provides protections relating to matters including satisfactory quality, fitness for purpose and conformity with description, together with remedies where applicable.

Similarly, services must be provided in accordance with applicable statutory requirements.

13. Goodwill Refunds

ECDL Digital may occasionally offer a refund, credit, extension or transfer as a gesture of goodwill where there is no contractual or statutory obligation to do so.

Any such decision is discretionary and relates only to the individual circumstances in which it is offered.

Providing goodwill assistance on one occasion does not create an ongoing entitlement or require ECDL Digital to make the same decision for another customer or future purchase.

14. Fair Use of These Terms

These terms are intended to protect ECDL Digital against inappropriate cancellation or misuse while respecting customers’ legal rights.

Nothing within this policy should be interpreted as excluding a consumer remedy or statutory right that cannot legally be excluded. Consumer terms must be fair and transparent to be enforceable.

15. Changes to This Policy

ECDL Digital may update this policy periodically to reflect changes to its products, services, payment arrangements or applicable law.

Unless a change is required by law, the terms applying to a particular purchase will normally be those made available to the customer when the contract was entered into.
